Privacy Policy

The EHCP Milestone Tracker is run by Rainbow Valley Play. We provide tools to help parents and carers track statutory EHCP deadlines, generate letters, and access specialist guidance.

We only collect information that is needed to run the tracker:

• Account details: your full name and email address, which are used to create and secure your account.
• Child information: a first name or nickname, your Local Authority name, and the EHC needs assessment request date so we can calculate milestone deadlines.
• Payment status: your subscription status and trial expiry date. Card details are handled by Stripe and are never stored in our database.

We do not sell your data. Stripe processes subscription payments. They receive only the information required to take payment and manage billing. We never see or store your full card number.

Your account and tracker information is kept while your subscription is active or while you have an ongoing free trial.

If you cancel or your trial expires without renewal, we may keep basic account records for a reasonable period to meet legal and tax requirements, but you can ask us to delete your personal data at any time (see below).

You have the right to ask us to delete your personal information. To request deletion, email hello@rainbowvalleyplay.com from the email address linked to your account. We will confirm receipt and remove your data within 30 days, unless we are required by law to keep certain records.

Rainbow Valley Play and the EHCP Milestone Tracker are independent of any Local Authority. We do not contact your Local Authority on your behalf, share your data with them, or send any letters or emails from our systems.

The letter templates you generate are created in your browser and copied to your clipboard or downloaded by you. You decide if, when, and how to send them. We have no visibility of those communications.

Your account is protected by a password and stored in a secure backend database. We use industry-standard access controls and encrypted connections. Never share your password, and choose a strong password you do not use elsewhere.

We may update this privacy policy from time to time. When we make material changes, we will update the “Last updated” date at the top of this page and, where appropriate, notify you by email or within the app.
